1. Who we are

This Privacy Policy applies to Coachwood Manor Cocktails (the Site), operated by:

We handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth), where that Act applies to us.

2. What we collect

Depending on how you use the Site, we may collect:

• Account details — email address, password (stored as a secure hash, not plain text), display name, and admin flags if applicable;
• Guest / device tokens — long-lived cookies or tokens so favourites and browsing state can persist before you create an account;
• Favourites & preferences — cocktails you save or interact with;
• Bar stock data — bottles, volumes, custom items, and usage you record in My bar;
• Party data — party names/dates, menus, design settings, QR join info, shopping helpers, forecasts you run, and related host settings;
• Guest party activity — if you join a party or place drink orders, we may store your user link (if signed in), display name, order lines, quantities, and fulfilment status visible to the host;
• Community content — cocktail submissions, ratings, “pour again” answers, recipe reports, optional reporter names, and similar feedback;
• Technical data — IP address, browser/user agent, approximate timestamps, and server logs needed to operate and secure the Site;
• Messages you send us — if you contact us about the Site via our published contact channels;

We do not ask for payment card details on this Site today. If paid features are added later, payment data would typically be handled by a third-party processor under their terms — we will update this Policy if that happens.

We do not intentionally collect sensitive information (as defined in the Privacy Act) such as health data. Do not submit health diagnoses in free-text fields.

3. Why we collect it (purposes)

We use personal information to:

• provide and improve the Site (accounts, favourites, stock, parties, orders, ratings, submissions);
• show hosts the information they need to run a private party they created;
• moderate community content and investigate abuse or security issues;
• communicate about your account or important Service changes;
• comply with law, enforce our Terms and Conditions, and protect our rights and users;
• produce aggregated, de-identified statistics (for example popularity of drinks) that do not reasonably identify you.

We do not sell your personal information.

If we ever use personal information for direct marketing, we will do so as allowed by law and give a simple opt-out. Today, Coachwood Manor is not an email marketing list product.

4. Cookies, local storage, and sessions

We use cookies, local storage, and similar technologies for sign-in sessions, guest tokens, favourites continuity, and basic Site function. You can block cookies in your browser, but key features (especially accounts and guest favourites) may stop working.

5. Who we share information with

We may disclose personal information to:

• Service providers who host, store, secure, or help operate the Site (for example hosting, CDN, email, or monitoring providers) under arrangements that require appropriate handling of the information;
• Party hosts — if you join their party or place orders, relevant order and identity/display details are visible to that host so they can pour and manage the night;
• Other users — limited public-facing details you choose to provide (for example a display name on a published community recipe credit, or ratings aggregates that may unlock publicly without naming you unless an admin tool shows voter details to operators);
• Professional advisers and authorities when required or appropriate (legal claims, safety, law enforcement, regulators).

Site operators and administrators within New Line Group Pty Ltd may access account and content data to run and moderate the Service.

6. Overseas disclosure

Our primary operations are in Australia. Some infrastructure or vendors may process data in other countries (for example global CDN or cloud regions). Where the Privacy Act requires, we take reasonable steps so overseas recipients handle personal information consistently with the APPs, or we rely on another permitted basis.

7. Security

We use reasonable technical and organisational measures (including hashed passwords and access controls) to protect personal information. No online service is perfectly secure. You must also protect your password and devices. Tell us promptly if you believe your account was compromised.

8. Retention

We keep personal information only as long as needed for the purposes above, including legal, accounting, security, and dispute needs — then delete or de-identify it when practicable. Party and order history may be retained so hosts and guests can look back at past nights, subject to deletion or archival features we provide and our operational needs.

You may request account closure; some records may remain where we must keep them (for example security logs or unresolved disputes).

9. Access, correction, and complaints

You may request access to, or correction of, personal information we hold about you, subject to the Privacy Act. Contact us using the details below and include enough information for us to verify and locate your request.

If you have a privacy complaint, contact us first and we will try to resolve it. If you are not satisfied, you may contact the Office of the Australian Information Commissioner (OAIC): oaic.gov.au.

10. Children

Account features and alcohol-related tools are for users 18+. We do not knowingly collect personal information from children for those features. If you believe a child has provided personal information inappropriately, contact us and we will take reasonable steps to delete it.

11. Changes to this Policy

We may update this Privacy Policy from time to time. The “Last updated” date will change when we do. Continued use of the Site after an update means you accept the revised Policy. Material changes may also be highlighted on the Site where practicable.
